Position: Conveyancing Client Relationship Executive – Bristol
Reports to: Head of Conveyancing

Days of Work: Mon – Fri

Hours of Work: 08:30 – 17:30
Salary: £26,000
Location: Hereford

Work under the supervision of the Head of Conveyancing to support the Conveyancing Department in delivering a high level of customer service to clients. The role will involve building and maintaining strong relationships with clients by proactively communicating and engaging with them throughout the conveyancing process.
You will be responsible for providing regular updates to clients and actively assisting them throughout their transaction to ensure high client satisfaction.

The Ideal Candidate

The ideal candidate will be able to assist the Conveyancing Team by proactively communicating with clients throughout the progression of their matter to ensure customer satisfaction. They will act in a friendly manner, tailor their approach to fit the needs of each client and be confident in communicating with clients via email, telephone and in person.
The ideal candidate will have excellent organisation skills and be able to autonomously manage their workload to ensure clients have regular contact with the firm.

Key Responsibilities

  • Initial contact with Clients to check if they would like our services after an enquiry has been made
  • Build strong relationships with clients.
  • Efficiently and proactively communicate with clients.
  • Provide regular updates with clients.
  • Identifying any potential client dissatisfaction.
  • Collaborating with the Conveyancing Department to deliver a seamless service.
  • Updating Case Management System and client records.
  • Being aware of key dates for auction matters and new build sites to ensure that these matters are prioritised and the client completes the necessary documentation in time. Reminding the Fee Earner and the client of key deadlines
  • Monitoring internal systems to ensure that cases are progressed regularly and efficiently
  • Monitor when onboarding is issued to clients to ensure that clients are contacted to see if they need assistance with completing their documentation
  • Monitor Land Registry OS1 / OS2 searches to ensure applications are submitted on time
  • Monitor Land Registry requisitions and ensure that they are allocated to Fee Earners to deal with promptly to avoid cancellations
  • Liaising the with the Compliance Team and Support Staff Team
  • Adhering to all Policies and Procedures of the Company

Qualifications & Training (Desirable)

  • Law Degree

Experience (Desirable)

  • Previous experience in a fast-paced office environment.
  • Experience working with clients.

Qualities and Attitudes (Essential)

  • Communication skills: You will be working with a wide range of people, from our clients to other solicitors and Agents, so the ability to communicate well and in a professional manner is essential.
  • Written communication skills: spelling and grammar.
  • Attention to detail: high level of accuracy and attention to detail when preparing legal documents or filling out forms and statements.
  • Teamwork: able to work with clients, lawyers, and legal secretaries.
  • Strong sense of discretion.

  • Demonstrate that you can cope well under pressure.
  • IT skills: Most work is to be carried out electronically.

Knowledge (Desirable)

  • Understanding on how to use MS Office.

Knowledge (Essential)

  • Legal terminology, regulations and HM Land Registry system, although full training will be given.
  • Ability to work with legal technology (HM Land Registry filing, computer systems, transcription software, Dictaphone etc)
